We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Sensitive Information. We do not process sensitive personal information.
Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and security code. All payment data is handled and stored by Stripe, Inc. You may find their privacy notice at https://stripe.com/privacy.
Social Media Login Data. We may provide you with the option to register with us using your existing social media account details, such as your Google account. If you choose to register in this way, we will collect certain profile information about you from the social media provider, as described in Section 7 (HOW DO WE HANDLE YOUR SOCIAL LOGINS?) below.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity but may include:
Log and Usage Data: IP address, browser type, device information, pages and features viewed, date/time stamps, error reports, and other diagnostic and performance information.

Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We access only the data scopes you explicitly authorize, and we do not use your Google data for advertising or share it with third parties except as required to operate the Services.
2. HOW DO WE PROCESS YOUR INFORMATION?
We process your personal information for the following purposes:
Account creation and authentication: To create and manage your account and keep it in working order.
Service delivery: To provide AI visibility tracking, competitor analysis, SERP data, content recommendations, and all other core Aetrix features.
Connected integrations: To retrieve and process data from third-party accounts you connect (e.g., Google Search Console, Google Analytics 4, Reddit), as authorized by you.
Support and inquiries: To respond to your questions and resolve any issues.
Administrative communications: To send details about products, services, changes to terms and policies, and other service-related information.
Feedback and improvement: To request feedback and improve our Services based on how users interact with them.
Marketing and promotional communications: To send marketing communications where you have opted in. You may opt out at any time.
Security and fraud prevention: To monitor for and prevent fraudulent activity and protect the integrity of our Services.
Usage analytics: To understand how the Services are used and improve features and performance.

Cloud Infrastructure Providers: Vercel, Railway, Amazon Web Services (AWS) — for hosting and running the platform.
Payment Processors: Stripe — for handling subscription billing and payments.
AI Service Providers: OpenAI, Anthropic, Google, and other AI engine providers — to power AI visibility queries and content features.
Data Intelligence Providers: DataForSEO — for SERP data, keyword intelligence, and search analytics.
Analytics Services: Google Analytics — for understanding usage patterns and improving the platform.
Communication Tools: Email delivery and customer support providers.
Authentication Services: For managing user login and account security.
Performance Monitoring Tools: Error tracking and uptime monitoring services.
Business Transfers. We may share or transfer your information in connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business.
Affiliates. We may share your information with our affiliates, including our parent company Gridapps Technologies and related entities, requiring them to honor this Privacy Notice.
Legal Requirements. We may disclose your information where required by law, regulation, court order, or to protect the rights and safety of our users and the public.
We do not sell your personal information to third parties.
5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
We may use cookies and similar tracking technologies (such as web beacons and pixels) to collect and store information when you interact with our Services. These technologies help us:
Maintain the security of our Services and your account.

6. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?
Yes. Aetrix is built on AI. Our Services include features and tools powered by artificial intelligence, machine learning, and large language models ("AI Products"), including:
AI Visibility Tracking: Querying AI answer engines (ChatGPT, Perplexity, Claude, Gemini, Grok, Deepseek, Google AI Overviews, Bing Copilot) to track brand mentions and citations.
AI Content Recommendations: Generating content briefs, optimization suggestions, and action workflows based on visibility gaps.
AI Insights and Analysis: Summarizing competitor gaps, explaining citation patterns, and surfacing "why cited / why not cited" diagnostics.
Prompt-Based Querying: Auto-generating and executing prompt sets against AI engines based on your domain, industry, and topics.
Use of AI Technologies
We provide AI Products through third-party AI service providers, including OpenAI, Anthropic, Google, and others. Your input, output, and relevant account context will be shared with and processed by these AI Service Providers to enable your use of the AI Products, strictly in accordance with this Privacy Notice.
You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Prompt Data. Prompts used to query AI engines are generated based on your domain, competitors, industry, and connected data sources. These prompts and their results are stored within your Aetrix workspace and are not shared with other users or used to train AI models unless you explicitly opt in.

7. HOW DO WE HANDLE YOUR SOCIAL LOGINS?
Our Services offer you the ability to register and log in using third-party account credentials, such as your Google account. Where you choose to do this, we will receive certain profile information from your social media or identity provider — typically your name, email address, and profile picture.
We will use this information only for the purposes described in this Privacy Notice. We do not control and are not responsible for other uses of your personal information by your third-party identity provider. We recommend reviewing their privacy policy to understand how they handle your data.
8. CONNECTED ACCOUNTS AND THIRD-PARTY INTEGRATIONS
If you connect third-party services to Aetrix — including Google Search Console, Google Analytics 4 (GA4), Reddit, Bing Webmaster Tools, Notion, Webflow, or other supported platforms — we will access and process data from those accounts on your behalf, strictly within the scopes and permissions you grant.
We access only the minimum necessary data to provide the Services. We do not use connected account data for advertising, resale, or any purpose other than providing Aetrix to you.
Disconnection. You may disconnect any linked account at any time through your Aetrix account settings. After disconnection, we will stop pulling new data from that account. Previously retrieved data may be retained for a limited period subject to our data retention and legal compliance obligations.
Google API Limited Use. Our use of data retrieved from Google APIs (including GSC and GA4) strictly adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to serve advertisements or for any purpose not disclosed in this Privacy Notice.
9. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?
Our servers are located in the United States (hosted on Vercel, Railway, and Amazon Web Services). If you are accessing our Services from outside the United States, please be aware that your information may be transferred to, stored in, and processed by us in the United States.
If you are a resident of the European Economic Area (EEA), United Kingdom (UK), or Switzerland, these countries may not have data protection laws as comprehensive as those in your jurisdiction. However, we take all necessary measures to protect your personal information, including implementing the European Commission's Standard Contractual Clauses for international data transfers. These clauses can be provided upon request by emailing privacy@aetrixhq.com.
10. HOW LONG DO WE KEEP YOUR INFORMATION?
We keep your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it. If deletion is not immediately possible (e.g., data stored in backup archives), we will securely store and isolate your personal information from further processing until deletion is possible.
Upon account termination, your workspace data will be deleted within a reasonable period, subject to legal retention requirements.
11. HOW DO WE KEEP YOUR INFORMATION SAFE?
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of your personal information, including:
Encrypted data transmission (HTTPS/TLS).
Secure cloud infrastructure (Vercel, Railway, AWS) with access controls.
Audit logging of key events including logins, data access, and administrative actions.
Restricted internal access to personal data on a need-to-know basis.
Regular security assessments and infrastructure monitoring.
However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure. You should only access the Services within a secure environment.
12. DO WE COLLECT INFORMATION FROM MINORS?
We do not knowingly collect, solicit data from, or market to children under 18 years of age. By using the Services, you represent that you are at least 18 years old, or that you are the parent or guardian of a minor and consent to such minor dependent's use of the Services.
If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at privacy@aetrixhq.com.
13. WHAT ARE YOUR PRIVACY RIGHTS?
Depending on your state of residence in the US, or your location in the European Economic Area (EEA), United Kingdom (UK), Switzerland, or Canada, you may have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.
In some regions (EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws, including:
The right to request access to and obtain a copy of your personal information.
The right to request rectification or erasure of your personal information.
The right to restrict the processing of your personal information.
The right to data portability (where applicable).
The right not to be subject to automated decision-making without human review.
The right to object to the processing of your personal information.
If you are located in the EEA or UK and believe we are unlawfully processing your personal information, you have the right to complain to your Member State data protection authority or the UK Information Commissioner's Office (ICO). If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner (FDPIC).
Withdrawing your consent: Where we rely on your consent to process your personal information, you may withdraw that consent at any time by contacting us at privacy@aetrixhq.com. Withdrawal of consent will not affect the lawfulness of processing carried out before its withdrawal.
Opting out of marketing communications: You can unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email we send, or by contacting us at privacy@aetrixhq.com. Note that we may still send you service-related communications necessary for the administration of your account.
Account Information: To review or change your account information or request account deletion:
Log in to your account settings and update your user account, or
Contact us at privacy@aetrixhq.com to request account deletion.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. We may retain some information in our files to prevent fraud, troubleshoot problems, assist with investigations, or comply with applicable legal requirements.
14. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems include a Do-Not-Track (DNT) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.
If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
16. DO OTHER REGIONS HAVE SPECIFIC PRIVACY RIGHTS?
Australia and New Zealand
We collect and process your personal information under the obligations set by Australia's Privacy Act 1988 and New Zealand's Privacy Act 2020. If you believe we are unlawfully processing your personal information, you have the right to submit a complaint to the Office of the Australian Information Commissioner or the Office of the New Zealand Privacy Commissioner.
Republic of South Africa

We process personal information in compliance with applicable Indian data protection laws, including the Digital Personal Data Protection Act, 2023 (DPDPA) to the extent it applies to our Services. 17. AI VISIBILITY DATA AND PROMPT PROCESSING
Aetrix's core function involves querying AI answer engines — including ChatGPT, Perplexity, Claude, Gemini, Grok, Deepseek, Google AI Overviews, and Bing Copilot — using prompt-based queries tied to your brand, domain, industry, and competitors.
What this means for your data:
Prompts are generated based on your domain, onboarding inputs, connected data sources, and competitor settings.
Prompt results (AI engine outputs) are stored within your Aetrix workspace for analysis and reporting.
Your prompts and results are not shared with other Aetrix users or used to train third-party AI models.
SERP data, keyword intelligence, and search analytics are retrieved from DataForSEO and are processed solely to power your Aetrix dashboard and reports.
Reddit data surfaced within the platform is retrieved via authorized API access and is governed by Reddit's API Terms of Service.
AI engine outputs are dynamic and subject to change as those engines are updated. Aetrix does not warrant that AI visibility data is exhaustive or permanent. All data is processed strictly for providing and improving the Services to you.
18. BETA SOFTWARE USE AND LIMITED ACCESS
Our Services may occasionally include access to beta features or pre-release functionality made available to select users. These features are provided as-is and may be subject to change without notice. We may collect feedback, error reports, and usage data from beta users to improve these features. Participation in beta programs is voluntary and may involve additional communications related to feature usage and testing.
19. AI-GENERATED CONTENT AND RECOMMENDATIONS
Our platform uses artificial intelligence to generate or assist in creating content briefs, optimization recommendations, and visibility insights. AI-generated content is based on your input data, connected account data, and AI engine outputs, and is not reviewed or verified by a human unless explicitly stated.
We encourage you to review all AI-generated content for accuracy before publishing or acting upon it. Any personal data submitted for AI processing is handled in accordance with this Privacy Policy and applicable data protection laws.
20. THIRD-PARTY INTEGRATIONS AND CLIENT RESPONSIBILITY
Our Services support integration with third-party platforms such as Google Search Console, Google Analytics 4, Reddit, Bing Webmaster Tools, Notion, Webflow, and other supported services. When you use these integrations, you are responsible for ensuring that your use of those third-party tools complies with relevant privacy and data protection laws.
We are not responsible for the privacy practices of third-party providers that you connect to your Aetrix workspace. We recommend reviewing the privacy policies of any third-party services you integrate with Aetrix.
If you use Aetrix in an agency capacity to manage workspaces on behalf of your clients, you are responsible for ensuring that your clients have been informed of and have consented to any data processing carried out in connection with their data through the Aetrix platform.
21. BUSINESS CONTACTS VS. INDIVIDUAL CONSUMERS
We primarily process personal data provided in a business context — such as company email addresses, job titles, domain data, and usage information related to an organization's account. If you interact with us as a representative of a business or as a workspace member, your information may be linked to your employer or organization's account.
We do not knowingly target individual consumers for profiling or direct advertising outside of opt-in marketing communications.
22. SECURITY PRACTICES AND AUDIT LOGS
We maintain administrative, technical, and physical safeguards designed to protect your information against accidental, unlawful, or unauthorized access, disclosure, alteration, or loss. These include:
Encrypted data transmission (HTTPS/TLS) across all Services.
Secure cloud hosting on Vercel, Railway, and Amazon Web Services (AWS) in the United States.
Role-based access controls limiting internal access to personal data.
Audit logs capturing key events including login activity, data access, integration connections/disconnections, and administrative actions.
Access to audit logs is restricted to authorized personnel only.
